We process the contact data collected by our service provider during the registration process and transferred to us:

– Name, First name, Title

– Company / Institution, Function

for the purpose of fulfilling the participation contract in accordance with Art. 6 para. 1 b) GDPR. The data will be processed for the purpose of holding the event for which you have registered.

When you register for an event, the data you provide will be collected and transmitted to us by the XING Events services of NEW WORK SE commissioned by us. NEW WORK SE is the responsible party for this. You will be informed about the data processing in connection with the use of XING Events products in the XING Data Protection Terms and Conditions, which you will receive when you purchase a ticket / register for the event.

  1. E-mail inquiry

At various points on the website, it is possible to contact us via the e-mail address provided. The personal data transmitted, in particular the e-mail address itself, will be stored.   1. Google Maps

This site uses the Google Maps map service via an API provided by Google Inc., 1600 Amphitheatre Parkway Mountain View, CA 94043, USA. In order to be able to use the functions of Google Maps, it is necessary to store our IP address. This information will in general be transmitted to Google in the U.S. and stored there. The provider of this site cannot influence this data transmission.

When you do not agree with this processing, you can deactivate the service of “Google Maps” and therefore prevent the data transmission to Google. For this purpose, deactivate the JavaScript function in your browser.

  1. Data processing during and after the Event

We also process the data in order to inform you about future events and to invite you if you are interested. The legal basis for this is Art. 6 para. 1 f) GDPR. Our legitimate interest is to maintain a qualified professional audience for our event.

  1. Technical notes

Your data will be stored and processed electronically. We use technical and organizational security measures to protect your personal data against accidental or unlawful destruction, loss or alteration and against unauthorized disclosure or access. Our security requirements correspond to the current technological and organizational standards.

  1. Hosting

We have entered into an agreement with the provider 1&1 IONOS SE for commissioned data processing (AVV) in accordance with Article 28 of the Basic Data Protection Regulation. The contractors certify the secure and high-priority handling of the transmitted and generated data in their data centers.

  1. Event tool

We have commissioned the external service provider EventInsight to carry out the event. EventInsight B.V., mit Sitz in Atoomweg 2-H, 9743 AK Groningen provides internet-related services and performances, in particular the platform for the digital event. The subject of the contractual service is not the original processing of personal data. However, in the course of providing services as a service provider in the area of hosting, support or administration of server systems, access to personal data cannot be excluded. In accordance with Article 28 of the GDPR, we have concluded an agreement with EventInsight on commissioned data processing (AVV). The contractor certifies the secure handling of the transmitted and generated data.

  1. ConfTool

This website uses ConfTool Pro to prepare and organize an event. The ConfTool software and the servers storing and processing your data are provided by ConfTool GmbH. All servers are hosted by ConfTool GmbH and are located in ISO 27001 certified data centers in Germany. All data is stored and processed on behalf of the GWT-TUD GmbH.

Any data provided (when entering data into a form or when creating a user account, or when submitting a proposal or when registering as participant) or data collected automatically by the IT systems when you access the ConfTool system (such as technical data such as the browser and operating system you are using or the date and time when you accessed the page) are collected automatically as soon as you access and use the ConfTool system.

SSL or TLS encryption: The ConfTool installation uses SSL or TLS encryption for security reasons and for the protection of the transmission of confidential content, such as the inquiries you send to us as the operator of this ConfTool installation. You can recognize an encrypted connection in your browser’s address line when it changes from “http://” to “https://” and the lock icon is displayed in your browser’s address bar. If SSL or TLS encryption is activated, the data you transfer to us cannot be read by third parties.

Cookies: The ConfTool system uses cookies. Cookies do not harm your computer and do not contain any viruses. Cookies help make the ConfTool system more user-friendly, efficient, and secure. Cookies are small text files that are stored on your computer and saved by your browser.

System logging: The ConfTool automatically collects and stores information that your browser automatically transmits to us in a “server log” and a “ConfTool user log”. These information are:

  • Operating system used
  • Referrer URL
  • IP and host name of the accessing computer

These data will not be combined with data from other sources. The data are mainly used to improve security and usability of the system and allows the ConfTool operators to help you when you have problems using the system.

The basis for data processing is Art. 6 paragraph 1, letter b of GDPR, which allows the processing of data to fulfill a contract or for measures preliminary to a contract.

Registration with this ConfTool installation: You can register with the ConfTool system in order to access functions offered here. The input data will only be used for the purpose of using the respective website or service for which you have registered. The mandatory information requested during registration must be provided in full. Otherwise, we will reject your registration.

To inform you about important changes such as those within the scope of this ConfTool installation or technical changes, we will use the e-mail address specified during registration.

We will process the data provided during registration only based on your consent per Art. 6 (1)(a) GDPR. You may revoke your consent at any time with future effect. An informal e-mail making this request is sufficient. The data processed before we receive your request may still be legally processed.

We will continue to store the data collected during registration for as long as you remain registered in this ConfTool installation. Statutory retention periods remain unaffected.

If the information concerning you is not (no longer) correct, you can request a correction. If your data is incomplete, you can request a completion.

– Right to cancellation:

You can request the deletion of your personal data. However, please note that the data will only be deleted if the data concerning you is no longer required by us to fulfill our legal obligations.

– Right to limit processing:

You have the right to request a limitation of the processing of data concerning you. The restriction does not prevent processing if there is an important public interest in the processing.

– Right to object:

You have the right to object at any time to the processing of data concerning you for reasons arising from your particular situation. However, we cannot do so if there is an overriding public interest in processing or if a legal provision obliges us to process the data.

– Right of complaint:

If you believe that we have not complied with your request or have not complied with it in full, you may lodge a complaint with the competent data protection supervisory authority.

  1. Data transfer

We can only pass on your data if you expressly allow us to do so or if this is permitted by law. This may be permitted in particular if controls by supervisory authorities are necessary. For example, the Saxon Court of Audit may receive data from us for verification purposes.

  • Storage period

As a matter of principle, we store your data for as long as is necessary to carry out the event for which you have registered. In addition, we also store your data in order to inform you or invite you to future events for as long as this is necessary for this purpose and appropriate in the context of the balancing of interests under Art. 6 Para. 1 f) GDPR, but generally for three years. After this period your data will be deleted.
