Data protection declaration

In the context of using our website, your personal data (hereinafter only “data”) will be processed. This data may include your name, address, e-mail address and other personal information. Processing is basically any way of dealing with this data.

In the following you will therefore receive information on the processing of your data within the scope of use by GWT-TUD GmbH on the basis of the provisions of the Basic Data Protection Ordinance (DS-GVO) and the applicable federal and state data protection laws.

A) Purposes and legal basis of our data processing

1. Registration

You can use our website to register with us. It is not possible to create an user profile without entering the mandatory information provided during registration. The legal basis for the processing of this data is Art. 6 para. 1 sentence 1 b) DSGVO, as the processing is necessary for the execution of the contract existing between you and us.

2. Extension of the user profile

You then have the option to voluntarily provide further data and to store it with us in order to use it in the context of using our services. The legal basis for the processing of these data is your consent pursuant to Art. 6 para. 1 sentence 1 a) DSGVO.

3. History of Use

Within the framework of the contract with you, we also process data in order to notify you of recent uses and to make appropriate suggestions for further uses, including the services of partners. The legal basis for the processing of this data is also Art. 6 Para. 1 S. 1 b) DSGVO, since the processing is necessary for the execution of the contract existing between you and us.

4. Newsletter

We also process data in order to send you e-mails based on your consent to the sending of newsletters. The legal basis for the processing of these data is your consent pursuant to Art. 6 para. 1 sentence 1 a) DSGVO.

Consent to receive a newsletter

If you register for the newsletter stored on the website, you give us your consent, which can be revoked at any time, to the regular sending of the newsletter. Consent is given until revoked.

5. Contact form

The website provides a contact form for contacting us. As far as personal data are concerned, the data entered here are stored on the server of the hosting provider and then forwarded via e-mail to the intended receiving mailbox. The forwarding takes place exclusively within the server, so that any endangerment of the confidentiality of the data is effectively excluded. The legal basis for processing is Art. 6 para. 1 sentence 1 b) DSGVO.

Notwithstanding this, the legal basis for the collection of the name Art. 6 para. 1 sentence 1 f) DSGVO. The legitimate interest in this is a more personal approach to the requester.

Consent to the processing of further data of the contact form

In addition to the required information you have the possibility to send us further contact information. In this respect, it is voluntary information for the processing of which you give us your consent with the information. The consent includes the processing to the same extent as was specified for the mandatory data.

6. E-mail contact

Contact can be established at various points on the website via the e-mail address provided. The transmitted personal data, in particular the e-mail address itself, is stored. This data will not be passed on to third parties. The data will be used exclusively for processing the request. The legal basis for the processing of data is Art. 6 paragraph 1 sentence 1 f DSGVO. The legitimate interest in the processing of the data lies in the execution of the contact. The data will be deleted once the purpose of the communication has ceased. If an offer process takes place in the course of communication, the processed data will be deleted after expiry of the retention periods provided for this purpose.

7. IT security

Finally, we also process data in your and our interest in order to guarantee the integrity, confidentiality and availability of the data processing systems, i.e. in particular the security and availability of your data at GWT-TUD GmbH. The use of our website and our app without processing data for this purpose is not possible. The legal basis for the processing of this data is Art. 6 para. 1 sentence 1 f) DSGVO; our legitimate interest is the maintenance and secure provision of our services.

B) Transfer of data beyond EU borders

The data we collect is stored exclusively on servers in the European Union. Transmission of data to companies outside the European Union does not take place without your express consent. This also applies to service providers commissioned by us for data processing with the exception of the service providers listed below.

C) Data receiver

We will only transmit your data via a secure connection.

To be able to offer you all functions, we also use selected service providers who process data on our behalf. We only pass on data within the framework of legally permissible order processing to service providers carefully selected and commissioned in writing by us. These receive only those data which are necessary for the fulfilment of the order.

These include the following categories of contractors: Identification service providers, software developers, server hosters, customer support.

D) Duration of data storage

The duration of data storage is determined for all processing operations carried out on the basis of a balance of interests or consent from the previous list of processing operations. Insofar as the processing takes place on the basis of a contract, the data will be deleted after the contractual purpose ceases to apply, unless we are legally obligated to further storage or retention. Insofar as the data is still required for the processing of outstanding transactions, the deletion will take place at the earliest after the processing of these transactions.

E) Data processing for web analysis, trackers and other plug-ins

Google Analytics

We use the analysis service Google Analytics provided by Google Inc., 1600 Amphitheatre Parkway Mountain View, CA, 94043

USA. When visiting our website, other user data will be collected and stored, in particular your region, the operative system used, information on your end device, information on sites referring to this site as well as social networks. Other data collected by Google Analytics are your duration of visit on the single sites, click paths and drop-off sites.

We exclusively use the data collected to provide our services and make the website more user-friendly, more effective and more secure in your and our interest. The data collected will not be used to identify you or create a profile that can be assigned to you personally. A merger of your stated personal data or other data will also not be carried out without your previously given explicit consent.

Google Analytics uses cookies. The information about your use of this website generated by this cookie will in general be transmitted to a Google server in the U.S. and stored there. However, due to the activation of the IP anonymization on these websites, your Google IP address will be shortened within the member states of the European Union or in other contracting states of the Agreement on the European Economic Area. Only in exceptional cases, the complete IP address will be transmitted to a Google server in the U.S. and shortened there.

Google Maps

This site uses the Google Maps map service via an API provided by Google Inc., 1600 Amphitheatre Parkway Mountain View, CA 94043, USA. In order to be able to use the functions of Google Maps, it is necessary to store our IP address. This information will in general be transmitted to Google in the U.S. and stored there. The provider of this site cannot influence this data transmission.

When you do not agree with this processing, you can deactivate the service of “Google Maps” and therefore prevent the data transmission to Google. For this purpose, deactivate the JavaScript function in your browser.

XING Events

This website incorporates the XING Events service to allow you to register as a participant. When registering at this website, XING also collects, processes and uses your data on the use of the website. ConfTool

This website uses ConfTool Pro to prepare and organize an event. The ConfTool software and the servers storing and processing your data are provided by ConfTool GmbH. All servers are hosted by ConfTool GmbH and are located in ISO 27001 certified data centers in Germany. All data is stored and processed on behalf of the GWT-TUD GmbH.

Any data provided (when entering data into a form or when creating a user account, or when submitting a proposal or when registering as participant) or data collected automatically by the IT systems when you access the ConfTool system (such as technical data such as the browser and operating system you are using or the date and time when you accessed the page) are collected automatically as soon as you access and use the ConfTool system.

SSL or TLS encryption: The ConfTool installation uses SSL or TLS encryption for security reasons and for the protection of the transmission of confidential content, such as the inquiries you send to us as the operator of this ConfTool installation. You can recognize an encrypted connection in your browser’s address line when it changes from “http://” to “https://” and the lock icon is displayed in your browser’s address bar. If SSL or TLS encryption is activated, the data you transfer to us cannot be read by third parties.

Cookies: The ConfTool system uses cookies. Cookies do not harm your computer and do not contain any viruses. Cookies help make the ConfTool system more user-friendly, efficient, and secure. Cookies are small text files that are stored on your computer and saved by your browser.

Most of the cookies we use are so-called “session cookies.” They are automatically deleted after your visit. Other cookies remain in your device’s memory until you delete them. These cookies make it possible to recognize your browser when you next visit this ConfTool installation.

System logging: The ConfTool automatically collects and stores information that your browser automatically transmits to us in a “server log” and a “ConfTool user log”. These information are:

  • Page accessed and data transmitted
  • Date and time of the server request
  • Browser type and browser version
  • Operating system used
  • Referrer URL
  • IP and host name of the accessing computer

These data will not be combined with data from other sources. The data are mainly used to improve security and usability of the system and allows the ConfTool operators to help you when you have problems using the system.

The basis for data processing is Art. 6 paragraph 1, letter b of GDPR, which allows the processing of data to fulfill a contract or for measures preliminary to a contract.

Registration with this ConfTool installation: You can register with the ConfTool system in order to access functions offered here. The input data will only be used for the purpose of using the respective website or service for which you have registered. The mandatory information requested during registration must be provided in full. Otherwise, we will reject your registration.

To inform you about important changes such as those within the scope of this ConfTool installation or technical changes, we will use the e-mail address specified during registration.

We will process the data provided during registration only based on your consent per Art. 6 (1)(a) GDPR. You may revoke your consent at any time with future effect. An informal e-mail making this request is sufficient. The data processed before we receive your request may still be legally processed.

We will continue to store the data collected during registration for as long as you remain registered in this ConfTool installation. Statutory retention periods remain unaffected.

All data stored by us or any order processors is protected against unauthorized access, loss and alteration in accordance with current security standards. To this end, comprehensive technical and organizational security precautions are applied with a standard that at least complies with legal requirements.

  • Right to obtain data correction or deletion,
  • right to limitation of processing,
  • Right to revoke your consent,
  • right of opposition to the processing,
  • Right to data transferability.
